When a quotation is approved the account follows

Keeping the quoted amount and the customer account in separate places produces differences. Here is what changes when one record carries through.

A quotation looks at first like a document belonging to the sales side. In a workshop, though, it is the first link in the accounting chain: the sizes inside it determine production, and the amount inside it determines the customer account. Keeping those two sides in separate places is the most common cause of drift. The quotation sits in a spreadsheet, the order in a book, the account somewhere else, and the link between them exists only in someone's memory. When one is updated the others fall behind, and which of them is correct only surfaces when the customer objects.

The way to prevent that drift is not to add another screen but to let one record carry through. When a quotation is approved no new order is written; the existing record changes state. The sizes stay the same, the amount stays the same, the customer stays the same. No gap can open between what was quoted, what was produced and what was invoiced. If something changes after approval that change appears on the record together with its previous state, so the change itself becomes part of the record.

Where the amount comes from matters just as much. The price is read from the business's own price list and the calculation happens in one place. Repeating the same calculation in two places means that one day one of them will be updated and the other forgotten. When area, quantity and process charges follow the same rule, not even a rounding difference remains between the quoted figure and the figure on the account. Updating the price list does not change old quotations; they keep carrying the price of the day they were issued.

What is expected on the account side is plain: how much the customer owes, which job it is left from, when they paid. Because the answers derive from the order, no separate bookkeeping is needed. When a payment is entered the balance updates on its own and it is visible which job it answers. Months later, when someone asks about an account, the answer is read from a single place and nobody has to compare two lists.

Turning it into a document is part of the same record. A quotation or order document is produced as a PDF and its link can be shared over email or WhatsApp. Because the document reflects the record as it stands, it does not wait to be updated the way a hand made file does. The language of the document follows the recipient, so a quotation going abroad comes out in a language the other side can read.

What this arrangement brings to the workshop is not more work but the removal of repetition. The same information is entered once and appears in four places by itself. When repetition goes, inconsistency goes with it, because inconsistency usually comes from typing something a second time rather than from bad intent.
